Personalised napkins with your logo in the UK: the check most buyers skip
Your logo looks perfect on screen. On a paper napkin it can come out a shade off, and most people only notice when hundreds of them are already on the tables. Ordering personalised napkins with your logo in the UK is simple once you know which question to ask first.
What do you need to order personalised napkins with your logo in the UK?
To order personalised napkins with your logo in the UK you need four things: your logo file, a quantity (from 100 units per design), a size and paper quality, and the date you need them by. With those, a printer can prepare the design and give you a firm price before you pay anything.
That covers the order form. It doesn't cover the part that decides whether you're happy when the box arrives, and that part starts with colour.
Which check do most buyers skip?
Most buyers approve the design on screen and never ask how their brand colour will look on paper. A screen mixes light. A napkin soaks up ink. The same Pantone can look slightly different on absorbent tissue than it does on a business card or a monitor, and it can shift again depending on the napkin stock you choose.
For a café with a relaxed logo this rarely matters. For a brand with a strict colour, a hotel group with brand guidelines, or a wedding where the napkins have to sit next to flowers in an exact shade, it matters a lot. So ask the question before you approve anything:
- What is the Pantone reference of my colour, and is it on your ink chart?
- If it isn't, can you mix it?
- Can I see a physical sample of the colour on the napkin before the full run is printed?
We print 37 flat inks, each with its Pantone reference, plus metallic gold and silver. If your colour isn't on the chart we can mix it, and when the colour is critical we send a physical sample before printing the run. You can browse every ink on our napkin sizes, colours and inks page.
Colour is the first decision. The second is how the logo is printed at all.
Deluxe® flat inks or full colour CMYK: which does your logo need?
Your artwork decides the printing method. Logos built from a few solid colours print best with flat inks. Photographs, gradients and logos with many colours need full colour CMYK, because a flat ink can't reproduce them.
| Your artwork | Printing method | Why |
|---|---|---|
| One to a few solid colours, a wordmark or a monogram | Deluxe® flat inks | Sharp detail and deep, even colour, matched to Pantone references |
| Gold or silver lettering | Deluxe® flat inks | Metallic gold and silver are part of the flat ink range |
| Photographs, gradients or a logo with many colours | Full colour CMYK | Four-colour process reproduces what a flat ink cannot hold |
| Not sure | Send the artwork | We tell you which method it needs |
One extra worth knowing about: a QR code can go on the napkin and take guests straight to your menu, your website or your reviews.
Which napkin size suits your venue or event?
Match the size to what people eat, because size also changes how many napkins each guest gets through. Smaller napkins run out faster.
| Size | Best for | Typical use per guest |
|---|---|---|
| 20×20 cm (XS, cocktail) | Cocktails, drinks and small snacks | Around 4.5 |
| 24×24 cm (S) | Cocktails and finger food, including oily snacks | 3 to 4 |
| 30×30 cm (M) | Brunch, sandwiches, baguettes and subs | 2 to 3 |
| 33×33 cm (L) | Full lunches and dinners | 1 to 2 |
| 40×40 cm (XL) | À la carte and fine dining | Usually 1 |
| 40×40 cm, 1/8 fold | The same napkin in a slim rectangular fold, popular in à la carte restaurants | Usually 1 |
A pub serving bar snacks and a hotel running a seated dinner need very different sizes, even if both carry the same logo. If you run both a bar and a dining room, it can make sense to order two sizes.
2-ply, 3-ply, double point or airlaid: which paper quality?
Pick the quality before the size and colour, because not every size comes in every quality. All of them print with both methods and all start at 100 units.
- Tissue 2-ply and 3-ply. Soft cellulose and the most economical choice, with the widest range of sizes. The edges are trimmed to hold the plies together, so the napkin stays folded.
- Double point embossed tissue. Noticeably softer and spongier in the hand, thanks to point-to-point embossing that traps air between the fibres. Available in 20×20, 33×33, 40×40 and 40×40 in 1/8 fold.
- Airlaid dry tissue. Our best quality and the closest thing to a cloth napkin while staying disposable. Available in 20×20, 24×24, 40×40, 40×40 in 1/8 fold and 40×40 Kangaroo fold.
Up to 28 napkin colours are available, depending on size and quality. Tell us the colour you have in mind and we confirm which sizes and qualities carry it.
How many personalised napkins do you need, and how long do they take?
The minimum is 100 units per design, whatever the size, quality or printing method. That makes a one-off event or a short seasonal run worth printing, without filling a storeroom with stock you won't use.
Production and delivery anywhere in the UK takes 10 working days from payment, on orders of up to 10,000 units. If you have a fixed date, such as a launch, a wedding or a busy weekend, tell us when you ask for the quote and we confirm it before you pay.
If you already have your logo to hand, you can send it with a quote request and see the design before deciding anything.
What logo file should you send?
Send the best version you have. A PDF, AI or EPS file gives the cleanest print, and a high-resolution image also works. A few things help the design go faster:
- Send the vector file if your designer has one, even if you're not sure what it is. It usually ends in .ai, .eps or .pdf.
- Give the Pantone reference of your brand colour if you know it.
- Say where you want the logo to sit on the napkin.
- Mention the napkin colour you have in mind, so the design shows the logo on it.
Don't worry if you have no vector file. We prepare the artwork, and the design and every revision are free.
What happens between sending your logo and receiving the napkins?
The process has four steps, and you only pay at the third:
- We reply with a design and a price.
- You ask for as many changes as you need, free of charge.
- You approve the design and pay.
- We produce and deliver within 10 working days of payment.
If the finished order isn't right, our 100% satisfaction guarantee applies: we collect the material and refund you. You can see finished napkins for bars, restaurants and events in our examples of printed napkins.
Ready to see your logo on a napkin?
You now know the questions that separate a napkin you're proud of from one that's a shade off. The quickest way to answer them for your own logo is to see it designed. Send us your logo and the quantity you need, from 100 units, and we come back with a free design and a firm price. You approve it before you pay anything, and if your colour is critical we send a physical sample first. Your napkins arrive within 10 working days of payment.
Frequently asked questions
How much do personalised napkins with a logo cost?
It depends on four things: how many you need, the size, the paper quality and how many ink colours your design uses. A run of 100 and a run of 20,000 are different products, so we give you a firm price together with a free design, with no commitment.
Is 100 units really the minimum for every napkin?
Yes. The minimum is 100 units per design whatever the size, the paper quality or the printing method you choose.
Do I have to pay for the design?
No. The design and as many amendments as you need are free, and you see the finished design before you pay anything.
What if my brand colour doesn't come out right?
Give us the Pantone reference and we match it from our 37 inks or mix it. For a critical colour we send a physical sample before printing the run. If the finished order isn't right, we collect it and refund you under our 100% satisfaction guarantee.
Can I get the napkins for a specific date?
Production and delivery anywhere in the UK takes 10 working days from payment on orders of up to 10,000 units. Tell us the date you need them by and we confirm it before you pay.
Can you print coasters with my logo as well?
Yes, with the same 100-unit minimum as the napkins.
